Clive Mason is just getting comfortable in his new office when his new assistant sends him an electronic dossier containing information on his new assignments. Clive decides to use his Access skills to create a new database to track his new clients. With his new database, Clive automates a few functions. Assume the role of Clive and perform the steps that he identifies. You may want to reread the chapter opening before proceeding.

  1. First, Clive will send out a "hello" letter to the new clients that he has been assigned. Download the database that Clive created, called AC10XTRA05, and his letter, AC10CTRA06, save them to your personal storage location. Clive will use the mail merge function in Word to access data from the tblAccounts table. In Word, he substitutes the appropriate Word fields for the information he currently has marked with parentheses. After merging to a new document, Clive’s first letter looks like the one shown in figure 10.7.

    Clive saves the merged document and exits Word. He leaves his database open to the next exercise.

  3. Clive needs to send his daily billing information to the accounting department. Since the accounting department primarily uses Excel, Clive will convert this information to Excel format. He selects the qryBillables query and uses the Analyze It with Microsoft Excel OfficeLinks button. In Excel, he cleans up the formatting and saves the workbook to his personal storage location. The finished workbook is shown in figure 10.8.

    Clive closes Excel and leaves his database open for the next exercise.

  5. Clive figures that he will be primarily using his database to track billable hours. To this end, he creates an automacro that will automatically open the frmBillingLog form to add. He first adds the macro using the <a onClick="window.open('/olcweb/cgi/pluginpop.cgi?it=gif:: ::/sites/dl/free/0072470925/26861/ACh10_acq_Image15.gif','popWin', 'width=NaN,height=NaN,resizable,scrollbars');" href="#"><img valign="absmiddle" height="16" width="16" border="0" src="/olcweb/styles/shared/linkicons/image.gif"> (1.0K)</a> button and then assigns it the action of opening the frmBillingLog form in add mode. He then saves the macro with the name "AutoExec". He closes and re-opens the database file to test his automacro. Satisfied, he closes the database file and gets back to familiarizing himself with his new clients. With the help of Access and a little hard work, Clive is bound to go down in company history as one of the best partners ever.
